What do I need to know about delivery?

Delivery is 1 to 4 days prior to the event. Pick up is 1 to 4 days after the event. This is determined by location & weather, as well as other factors. We are able to accommodate time specific deliveries and / or pick-ups for a convenience fee. Our delivery schedule is prepared the week of your event date. You will be contacted with delivery specifics prior to the event date.

 

When is my final payment due?

Final payment is due on or before 7 days prior to the date of your event. No rental items will be delivered until the final payment is made.

 

Can I make a change to my quote?

Yes. Making changes to your quote is easy. Send any changes via email, and we will take care of the rest.

 

How do I know my tent size is correct?

Your tent size is based on the activities planned for your event. These activities include the number of guests, type of seating, food and beverage service, band and dancing. Extra room is needed if you are planning on a bar, dance floor, DJ or band. As event solution specialists, we are here to help determine the proper size tent to accommodate your needs. We will also work with you to build a CAD diagram to help visualize the space.

 

How far in advance should I reserve my equipment?

It is always best to allow as much time as possible. This ensures that we have the availability of equipment to make your event a success. Quotes turn to reservations once you have signed our Terms and Conditions, and submitted your down payment of 50%.

 

What is next?

Once these steps are completed our office will reach out to you to collect any information we are missing. This will include some event location specifics, billing information and any other event details needed to help in making your event a success.

 

What is a site survey?

Once your event is booked (and you have a tent larger than a 20x30), we will require a site survey to be scheduled. Our office will contact you to coordinate a time for our survey representative to meet with you (and the property owner or manager, if that applies) on site. This meeting will cover many items concerning tent delivery, set up location chosen, entry and side wall placement if that applies, dance floor positioning if that applies, and a general overall discussion of many areas to make your event delivery, set up and take down run as smoothly as possible.

What to know when renting items for your Wedding Day

Communication is key. It is important to communicate your exact needs when reserving items for your wedding day. When you need items multiple days in order to decorate, we will need to schedule those items properly. If there are any delivery or pick up stipulations we need to work around, (whether it is your own property or a rented venue) this bit of information is crucial. Or if you are simply having your rehearsal and dinner in the tent the night before and need the items delivered by a certain time to be sure your rehearsal has no interruptions, this would also need proper scheduling. There are many details to get in order and we will do our best to gather the information needed, ultimately it is up to you to communicate your needs for the event. We rely on you to  provide complete and accurate information to ensure we have all of the details needed to provide your event with the best service we possibly can.

 

Linen Rentals: One of the best things about renting linens for your wedding day is cleaning up. You are able to whip them off the tables, and place them into a tote to be shipped back to BlueRock when the day is done. They arrive to you clean, pressed and folded in such a way they will not have deep creases when you place them on your tables. The value in renting is having one less thing to take care of on your special day. Linens come back to us with spills, stains, frosting and a variety of other debris that you will never have to worry about by renting your linens. 

 

Some tips for keeping your event information organized:

  • Create an email address for all wedding correspondence – This is a great way to organize all of your communications with wedding vendors, family and friends.

  • A cute email such as futuremrandmrsjones@gmail.

  • Create a hashtag. This is great for tagging photos and sharing your excitement for the big day! You can hashtag all of the events, big and small, leading up to your big day! Get everyone in on the fun and this can be a great way to share with friends and family who are unable to attend.

  • Purchase a three-ring binder: Storing all of your receipts, notes and physical information you collect in the planning stages all in one place will help to keep you organized in the months before your big event.
